Modifying General Properties of Multiple Documents Simultaneously

This section describes how to use the Modify Documents dialog to modify properties of multiple documents simultaneously.

To Change the Document Name for Multiple Documents

  1. Select a document.
  2. Select Document > Modify.

    The Modify Documents dialog opens.

  3. (Optional) Enter a prefix or suffix for the selected documents’ names.
  4. Place your cursor in the Document Name field and click the arrow to the right of the field. From the list of property variables that opens, click a variable to insert it into the Document Name field.
  5. (Optional) If you want the file names to match the document names, turn on the check box to the right of the Document Name field. Otherwise, turn off this check box to leave the file names unaffected.
  6. Click OK.

    Tip: The check box to the left of the Document Name field is not related to the document name locking check box to the right of the Document Name field. If the check box to the left of the Document Name field is ON, it means your changes to that field will be saved when you click Apply or OK. If the check box is OFF, it means your changes to that field will NOT be saved when you click Apply or OK.

To Change the Document Description for Multiple Documents

  1. Select a document.
  2. Select Document > Modify.

    The Modify Documents dialog opens.

  3. (Optional) Enter a prefix or suffix for the selected documents’ descriptions.
  4. Place your cursor in the Document Description field and click the arrow to the right of the field. From the list of property variables that opens, click a variable to insert it into the Document Description field.
  5. Click OK.

    Tip: If the check box to the left of the Document Description field is ON, it means your changes to that field will be saved when you click Apply or OK. If the check box is OFF, it means your changes to that field will NOT be saved when you click Apply or OK.

To Change the Associated Application for Multiple Documents

  1. Select a document.
  2. Select Document > Modify.

    The Modify Documents dialog opens.

  3. Select an application from the Application list, or set the application to <none>.
  4. Click OK.

To Change the Associated Department for Multiple Documents

  1. Select a document.
  2. Select Document > Modify.

    The Modify Documents dialog opens.

  3. Select a department from the Department list, or set the department to <none>.
  4. Click OK.
