Initial Project Participants and Default Permissions

When you associate a work area to a ProjectWise project that has ProjectWise Deliverables Management turned on, the current participants of the work area are automatically added as internal participants of the Deliverables Management project. For this reason it is recommended that you fully configure your work area first, before you associate it to your ProjectWise project.

When you first open the Deliverables Management Settings dialog of your work area after associating it to a ProjectWise project, you will see that the Participants and permissions tab lists the ProjectWise users who are already participants of the work area, their current status as a ProjectWise Deliverables Management user, and their default Deliverables Management permissions in this project.

Initial User Status

The initial Status of each user is based on:

  1. whether or not the email address in their ProjectWise user settings matches the email address of a Bentley IMS account

    and

  2. whether or not the email address in their ProjectWise user settings belongs to the internal organization's domain
Note: For every project, the internal organization's domain is the domain of the person who enabled ProjectWise Deliverables Management in the ProjectWise project.

The following are the possible statuses:

Status Description
Active user A ProjectWise user whose email address in their ProjectWise user settings matches the email address of a Bentley IMS account, and also belongs to the internal organization's domain. This user's default permissions will be based on their role (see next section).
Different email domain A ProjectWise user whose email address in their ProjectWise user settings matches the email address of a Bentley IMS account, but does not belong to the internal organization's domain. This user will have no default permissions, but you can turn on permissions for them as needed.
Email address missing A ProjectWise user who does not have an email address in their ProjectWise user settings. This user's permissions will be disabled. If this user needs to send or receive deliverables, you can add their email address to their ProjectWise user account and re-synchronize.
No access yet This is the initial status of a ProjectWise user from your organization, and who has a Bentley IMS account, who gets added to the work area later (after the initial work area association). Once you synchronize, the status of this user will change to Active user.

Permissions

Permission Definition
View package General access to the project. Lets you view packages sent from internal or external organizations. Lets you create transmittal drafts.
Receive package Lets you receive packages from external organizations. If off, you can still receive packages from your internal organization.
Issue package Lets you create and issue packages from this project. Also lets you invite external participants.
Approve RFI response Lets you approve RFI responses that have been sent to you for review prior to sending the final response.
Admin Full access to the project. Lets you invite external participants. Also lets you make other users admins.

The default permissions of each ProjectWise user who is added as an internal participant are based on the role that was assigned to the user when they were added to the work area.

Note: Any participant with the View package permission can also participate in the submittal review process as an additional reviewer (someone who is invited by one of the original submittal recipients to send a response to a particular document in a submittal). See To Respond to a Submittal (ProjectWise Explorer).
Note: Any participant with the No Access role will not be added to the internal participants list, and therefore will have no access to this Deliverables Management project.
Note: If the *Everyone group is added as an internal participant, all permissions will be turned off for the group by default, regardless of what role is assigned to this group. You can then decide which permissions this group needs, and turn them on accordingly.
