Workflow Completion and Document Approval
Typically the last step of a Comments Tracking workflow is an Approval Task which automatically approves the documents that were added to the workflow with the "Approval Subject" purpose as described in the Creating a Comments Tracking Workflow topic.
When the last task for a comments tracking workflow is completed, the following dialog appears, prompting the user to verify that all information is correct:
If the current user is a Comments Tracking Administrator,
the Task Completion dialog also provides a mechanism to extend viewing of
comments beyond those
ALIM users that participated in the document
review. If the user is not a Comments Tracking Administrator, the Permission
Roles grid will not be visible and the workflow can be completed as usual.
Permissions can be modified at a later time as described in
Comments Tracking Administrator Actions. The Security roles
list is retrieved from the set of documents that are being reviewed. Roles may
be added to and removed from the list, by selecting the appropriate action from
the menu. For example,
Note: Comments Tracking
requires specific configuration of permissions on object templates and persons,
in order to take advantage of this feature. Fore more information, see
"Comments Tracking, Permission Configuration
Requirements", in the AssetWise CONNECT Edition Implementation
Guide.
Selecting
Add Role Security invokes the Add Role Security
dialog, in which you can select multiple roles:
Note: Permissions are not
officially applied until
Verify and Complete is clicked, and permissions
are only added to all comments on the workflow at this step, no permissions are
removed. If Comment security roles need to be removed or modified once the
workflow has completed, a Comments Tracking administrator can do so from the
workflow itself:
