Check In Dialog

Used to check in a document and if required or optional, to enter comments describing the nature of the changes made to the document. This dialog opens when you select File > Close in the editing application, when the document you are closing is an exclusively checked out document.

General tab
  • Documents list — Displays the document you are closing.
  • Folder — Displays the folder in which the document exists.
  • Create new version during Check In — If on, then clicking Check In will create a new version of this document, and the changes you made while the document was checked out are now saved in the new version. When this option is on, only the Check In button is enabled.
  • Version — This field is enabled when the option Create new version during Check In is on. The Version field lets you enter a custom version identifier which displays in the Document Properties dialog. If you leave this field blank, the next available default version identifier is appended to the new document.
Comment tab Used to enter comments describing the nature of the changes you made to the document. If you added comments on previous check ins, you can also select from a list containing your previously entered comments. This tab exist if comments are either required or optional for you, personally. It is possible that comments are required for you, optional for someone else, and still not applicable at all to others.
  • If a Comment tab exists on the Check In dialog, but the General tab has the focus by default, then comments are optional and you can click Check In without entering comments.
  • If a Comment tab exists and the Comment tab has the focus by default, then comments are required and you cannot check in the document without first entering comments.
  • If there is no Comment tab, then you cannot enter check-in comments.
Check In Updates the server copy of the document with changes you made in your local copy and returns the document's status to from Checked Out to Checked In.
Update Server Copy Updates the server copy of the document with changes you made in your local copy and leaves the document's status set to Checked Out.
Free When your user setting Document > Leave local copy on free is off, clicking Free deletes the document from your working directory (thereby deleting all the changes you might have made since you checked out the document) and returns the document status from Checked Out to Checked In. When Document > Leave local copy on free is on, clicking Free returns the document status from Checked Out to Checked In, but does not delete the local copy of the document.
Cancel Closes the Check In dialog without taking any action on the document. If you later want to check in, update server copy, or free this document, you can do so from ProjectWise Explorer.
