Managing Incoming Submittals

Submittals sent to you from other organizations are found under the Incoming tab.

The general workflow for the user receiving a submittal is this:

  1. User receives a submittal
  2. User acknowledges the submittal
  3. User downloads the contents of the submittal
  4. User responds to each document in the submittal

Users can also:

  • forward the submittal
  • delegate their response to another user
  • request responses from additional reviewers
  • reject the entire submittal
  • view the history of the submittal
  • archive the submittal

Depending on how the issuer configured the item, the recipient might be required to only acknowledge, or both acknowledge and respond, or the recipient might not be required to acknowledge or respond at all.

If a submittal recipient is not required to acknowledge or respond to the submittal, then they can download the submittal's files right away. If the recipient is required to acknowledge the submittal, then that recipient must first acknowledge the submittal before they can download the submittal's files. If the recipient is also required to respond, then they must send a response for each file in the submittal.

Project participants who are not recipients of the submittal can also download the submittal's files in some cases. For example, if the submittal does not require any acknowledgement, and if the submittal is not marked as confidential, then any project participant (recipient or not) can download the submittal's files. Also, the administrator can download a submittal's files if the submittal requires acknowledgement and has been acknowledged by at least one recipient. Finally, if a submittal requires acknowledgement from one or more recipients, then non-recipients can download the submittal's files once the submittal has been acknowledged by all of the recipients who are required to acknowledge it.

When responding to a submittal, specific response options are provided, such as Approved, Approved with Comments, or Rejected. The recipient can send a response for each document in the package one at a time, or they can send all of their responses at once. The recipient can include comments and send attachments along with their response.

Once the recipient sends a response to a document, the issuer receives an email notification about it, and the document is then locked to the recipient from changing their response (unless the issuer later unlocks the response).
