New Storage Settings for RFIs

You can now control the location in the work area where RFI attachments are stored (that is, attachments to incoming RFIs, and attachments to incoming responses to your outgoing RFIs).

For this change, the Storage tab of the Deliverables Management Settings dialog now has two tabs on it:

  • Transmittals and Submittals - Use the Transmittals and Submittals tab to change the folder in the work area in which to import documents from incoming submittals, and attachments to incoming responses for outgoing transmittals. (all the controls that were on the previous version of the Storage tab have been moved here)
  • RFI - Use the RFI tab to change the folder in the work area in which to import attachments to incoming RFIs, and attachments to incoming responses for outgoing RFIs.

Creating Versions of Submittal Documents on Import

When the storage folder in the work area for incoming submittal documents is set to be the name of the company who sent the submittal (Deliverables Management Settings dialog > Storage > Transmittals and Submittals > Store submittal documents in > Company name), then all submittals from a particular company will be stored in the same folder (a folder named after the company). Likewise, when the storage folder in the work area for incoming submittal documents is set to be the name of the classification label assigned to the submittal (Deliverables Management Settings dialog > Storage > Transmittals and Submittals > Store submittal documents in > Classification or Company name/Classification), then all submittals that are assigned a particular classification, or that are from a particular company and that are assigned a particular classification, will be stored in the same folder (a folder named after the classification label). These storage settings make it easy to find all submittals from a particular company, or all submittals that are assigned a particular classification. These settings are not entirely new in this update, but they are related to the versioning changes described next.

In this update, a change has been made to create a version when importing a document from one submittal, if there is already a document of the same name in the same folder but from a different submittal. For example: You receive submittal A from company A with a set of documents to be reviewed that are about 25% complete. After reviewing the documents and sending responses back to company A, you receive submittal B from company A with new versions of the same documents to be reviewed that are now about 50% complete. If your submittal document storage location in the work area is set to be Company name, Classification, or Company name/Classification, then the documents from submittal B will be imported as new versions to the same folder as submittal A. The original versions will be linked to submittal A, and the new versions will be linked to submittal B, so that if you select version A of document 1 in the submittal document storage folder, the Deliverables Management tab in the Preview Pane will display the related submittal package, submittal A. Likewise, if you select version B of document 1, the Deliverables Management tab in the Preview Pane will display the related submittal package, submittal B.
